Privacy policy

This policy describes the Mama Love Operations internal business app, operated by Mama Love LLC. It covers this app, rather than Mama Love's separate storefront or the independent services used to sign in, host the app, or connect QuickBooks.

Information handled by the app

• Account information: the signed-in user's identifier and email, approved account name, role, and seller assignment, to control access and identify who entered or changed a record.
• Business records: products, quantities, prices, discounts, cash sales, expenses, market names, dates, notes, cash counts, references, imported records, and change history.
• Location information: when device permission allows location capture, latitude, longitude, accuracy, and capture time. A recent location can be attached to an order when its location-sharing option is enabled. An authorized administrator can save a market's address and coordinates as a reusable reference.
• QuickBooks information: after an administrator authorizes the connection, company name and identifier, authorization tokens, account and other reference lists used for mapping, prepared posting data, status, and external transaction references.

Do not put customer payment-card details, passwords, or unrelated sensitive personal information in order notes or other free-text fields. This app does not collect card numbers to process payments.

How the information is used

The app uses this information to identify authorized users, record and review business activity, remember a market selection, match permitted location readings to market references, maintain an audit trail, reconcile cash, and prepare and confirm authorized QuickBooks expense postings.

Location choices and device storage

You can choose a market manually and record orders without GPS. The app can reuse location permission already granted by your browser; selecting location features or saving a first market reference may request permission. You can disable an order's location-sharing option or revoke location permission in your browser or device settings. The app does not run continuous background location tracking.

The browser stores a remembered market and market-pin attempt flags in local storage, and an unfinished order in session storage. Clear site storage to remove these device copies; doing so does not delete records already saved on the server. Sign-in services may also use cookies or similar session mechanisms under their own policies.

Access and service providers

Mama Love's authorized users can access records according to their app permissions. Administrators have broader access for business oversight. The app is hosted through ChatGPT Sites on Cloudflare infrastructure; sign-in and hosting providers process information needed to operate their services, including technical request information. Their own terms and privacy policies also apply.

When QuickBooks is connected, the app exchanges company and accounting information with Intuit to load reference data, check transaction status, and create individually confirmed expense transactions. An order's GPS coordinates are not included in the current QuickBooks expense posting payload. Opening a recorded-location link in Google Maps sends the coordinates to Google and is subject to Google's policies.

The app's own code includes no advertising trackers and no feature to sell personal information. Business information is used for Mama Love's operations and the service interactions described here.

Storage and safeguards

Business records, changes, imported-data backups, and QuickBooks posting history are stored in the hosted database. QuickBooks tokens are encrypted before database storage; app credentials remain in server-side secret configuration. Business API endpoints check the signed-in account and assigned permissions. These controls do not guarantee that every security risk can be eliminated.

Retention, corrections, and disconnection

The app does not automatically delete business records after a fixed period. Records and audit history are retained for ongoing operations and reconciliation. Voiding an entry or disabling an account does not erase its history. QuickBooks has its own records and retention practices.

For access, correction, deletion requests, or account removal, contact the Mama Love LLC administrator who provided your access, Jad or Wael. Requests require identity and authority verification; relevant accounting records may need to be retained. To revoke the app's QuickBooks authorization, use QuickBooks' connected-app management or ask an administrator for help. Revoking authorization does not undo posted transactions or automatically delete existing business records.

Policy updates

Mama Love may update this policy as the app changes. The effective date appears at the top. This app is intended for authorized business users, not for children or public customer account registration.
